The New York American Marketing Association and Effie Worldwide need a talented, energetic, proactive professional to join the team.
This person will be key in assisting with the day to day efficiency of the organizations as well as execution of special projects and events.

What are some of the assignments of this job?
- Distribute mail/faxes, greeting visitors and guests, ensure outgoing packages are picked-up, ordering and stocking office/kitchen supplies as needed
- Daily upkeep of office public areas, machines and stocking paper trays for fax, copier & printers
- Proof, print, stuff and mail out targeted direct mail promotions
- Handle prep of materials for events including processing of event registrations, confirmations to event attendees, registration packets, name badges, etc. as well as assist on-site at various events
- Send invoices/payments/documents twice a week to accounting service
- Maintain databases/lists of organizations’ constituents with updates, corrections, additions
- Assist with website content/trouble shooting/enhancements/prep of data for upload/ export of online customer records from registrations,
reporting on website traffic (google analytic reports)
- Assist with staff computer/tech needs like coordinating with computer consultants to schedule routine maintenance/troubleshooting problems;
troubleshooting problems with email service, etc.
- scheduling and preparation of committee meetings, conference calls, board meetings as well taking minutes at various meetings
- Handle phone, fax and email correspondence relating to questions from current or potential members
- Handle requests for preparation/sizing/creation any and all graphics and photos relating to NYAMA and Effie Worldwide initiatives
- Special projects that involve data entry, internet searches, creation of mailing lists, industry research, etc.

Requirements
- Real experience and working knowledge of Excel, Word, Adobe Photoshop, HTML
- College degree preferred
- Strong writing skills
- Professional phone manner
- Ability to easily learn new software
- Knowledge/experience in working with additional graphic programs and/or databases a plus
Salary
It will be based on your experience and the skills you’re bringing to the table. It will be in line with current non-profit receptionist/admin jobs that are out there.
